TEALTOWN BALLPARK BACKGROUND CHECK POLICY

Tealtown Ballpark is appreciative of the contributions volunteers bring to our park and welcome their participation.  The board believes volunteers provide a vital resource to our community and we thank you for your efforts. However, to promote a safe environment for our children, we have determined we will follow the parameters of the Ohio Revised Code on criminal background checks for volunteers, Managers/Head Coaches and Assistant Coaches.

 

In line with local school district and other sports procedures, we are requiring every Manager/Head Coach and Assistant Coach to provide the park with proof of a background check.

 

Many of you have already provided this proof either through the volunteer program at your school or through other sport leagues.  In this case, you simply have to request a copy of the BCI form.  A copy of this form is suitable for our records.

 

To receive a background check, there are three methods available.

 

  • Visit Union Township Police Department and request this check. The cost is $15.00 per person.

  • Visit the Clermont County Sheriff’s Department and request this check.

  • If you intend to volunteer at your school, you can visit the West Clermont Board of Education and request a check. 

 

Should a background check reveal a conviction of one of the following offenses, we will notify you but will not reveal which offense is on your record.  At that time, you will no longer be permitted to hold any volunteer position at the park and we will notify the parent or guardian of each child on your team that the person named has been convicted of one of the following offenses but we will not identify the offense.  If you feel the record is incorrect, you can attempt to have your record expunged.  However, until your record is expunged, you cannot hold any capacity as a volunteer, Manager/Head Coach or Assistant Coach at Tealtown Ballpark.

 

This policy is intended to ensure the safety of the children in our park and we would be remiss in our duties to do otherwise.

How To Get Your Background Check

 

 

If you have already had a Web check done through the West Clermont Board of Education because you are a West Clermont employee, get a copy of the Web Check result from the human resources office, put the result in a sealed envelope with your name on the front of the envelope, and turn in the envelope to at the February coaches meeting.

 

If you have already had a Web check done through the West Clermont Board of Education because you are a West Clermont volunteer, you need to get a copy of the Web Check result from the school secretary where you were a volunteer.  Each school maintains a file of the Web Check results for volunteers at that school.  Get a copy of the Web Check result from the school office, put the result in a sealed envelope with your name of the front of the envelope, and turn in at the February coaches meeting.

 

If you are not on the list, but you have already had a Web check done through another agency, get a copy of the Web check result from that agency, put the result in a sealed envelope with your name on the front of the envelope, and turn in the envelope at the February coaches meeting.

 

If you are not on the list, you have been a resident of the state of Ohio for at least five years, and you have not had a Web check done, you need to have this done through the West Clermont Board of Education or the Union Township Police Department.  Before you have it done, inform them that you need to pick up a copy of the result so that you can turn it in to Tealtown Ballpark.  Web checks can be done at the West Clermont Board of Education offices at the Union Township Civic Center any Monday, Wednesday, or Friday from 10 a.m. to 3 p.m. or by appointment.  Web checks can be done at the Union Township Police Department any Wednesday from 10 a.m. to 4 p.m. or by appointment.  The Web check will cost you $15.00, and you can pass this cost on to the parents of your players by including it in your team fee.  Get a copy of the Web check result from the office where you go for the Web check, put the result in a sealed envelope with your name on the front of the envelope, and turn in the envelope at the February coaches meeting.

 

If you are not on the list, you have not been a resident of the state of Ohio for at least five years, and you have not had a Web check done, you will need to have an F.B.I check performed through the West Clermont Board of Education.  Go to any police agency in order to be fingerprinted.  The Union Township Police Department will do this for you on Wednesdays from 9 a.m. to 4 p.m. or by appointment.  Take a copy of the fingerprint card to the West Clermont Board of Education offices at the Union Township Civic Center any Monday, Wednesday, or Friday from 10 a.m. to 3 p.m. or by appointment.  The F.B.I. check will cost you $39.00 ($15.00 to the Ohio B.C.I. and $24.00 to the F.B.I.), and you can pass this cost on to the parents of your players by including it in your team fee.  Before you turn in the fingerprint card at the human resources office of the West Clermont Board of Education, tell them that you will need to get a copy of the fingerprint results to turn in to Tealtown Ballpark.  It will take up to six weeks to get the results back.   Get a receipt or other documentation from the West Clermont Board of Education that shows that you have been fingerprinted, put the receipt or other documentation in a sealed envelope with your name on the front of the envelope, and turn in the envelope at the November 29th coaches meeting.  Then turn in the fingerprint result no later than the March coaches meeting.
